E-mail Storage Retrieval:
ArchiveIT is The Network Support Company’s (TNSC’s) automated e-mail capture and archival solution. It captures all inbound and outbound e-mail from a client site and stores it remotely in a database for search and retrieval. The remote e-mail database itself is backed up to protect against data loss. The solution works with TNSC’s SPAM filtering service to filter out SPAM e-mail before being saved in the Archival database.
Because inbound e-mail capture occurs before it enters the client site and outbound e-mail is captured immediately upon sending, local deletion of e-mail does not affect e-mail retention in the remote database. E-mail can also be monitored and alerts sent for the following:
- Standard policies
• Severe foul language
• Personal e-mail use
• Personally identifiable information (HIPA and other regulatory compliance)
- Custom policies
The solution is appropriate for regulated industries that require e-mail retention and
monitoring as well as companies wishing to monitor:

Comprehensive E-mail Management
- Archiving. ArchiveIT can capture e-mail from several sources – POP3 or MAPI – using several methods. E-mails intended to be archived will both be pushed (inbound mail) to the Barracuda Message Archiver via SMTP, and pulled (outbound and internal mail) via standard e-mail access protocols (POP3 or IMAP). The Barracuda Message Archiver can also be deployed in conjunction with the Barracuda spam Firewall to filter out spam before being archived. All imported email, regardless of the source, is consolidated into one secure e-mail archive.
- PST file import. Scattered PST files stored on users’ desktops or laptops can also be imported. In conjunction with the MAPI e-mail import feature, this allows you to create a comprehensive archive of new and historical e-mails.
- SMTP relay. The Barracuda Message Archiver can work as an SMTP relay to forward e-mails to your designated e-mail server. This capability allows you to capture inter-company e-mails for archiving that do not get sent via the Internet.
- Indexing. Using a thorough list of all message components, e-mails are fully indexed by message content and attachments with the option to add tags for customized searches.
- Search and retrieval. The Archive Search tool located in the Web user interface conducts quick full-text searches based on tags or message content. Users can easily search personal e-mail archives, view e-mails in the archive and forward e-mails to active mailboxes.
- Message storage. Built-in storage and redundancy is provided through internal and external mirroring. Because all e-mail is captured remotely, local message store can be kept to a minimum. This allows you to move e-mails from costly, transaction-based storage required for production e-mail servers to less expensive storage options.
- Single instance storage. With the use of single instance storage, the Barracuda Message Archiver intelligently removes duplicate e-mails or attachments from a message thread, ensuring only one copy is compressed before storing it in a file system to maximize storage capacity.
Intuitive Policy, Discovery and Compliance Support
- Roles. Using role-based administration, access privileges are organized in three tiers and can be designated to the administrator, auditor and end user by integrating with Active Directory to immediately classify user permissions.
- Compliance and corporate policy monitoring. The Barracuda Message Archiver enforces standard policies by monitoring and reporting on behaviors, such as use of foul language, transmitting personal identifying information, list of most frequently visited job searching Web sites, as well as providing customizable policies to monitor use of user-defined keywords and phrases. Standard regulatory e-mail filters are updated automatically as regulations change to maintain regulatory compliance. Audit trails are kept and alerts sent for e-mails that violate polices.
- Litigation readiness and discovery process. By using the searching capabilities, auditors and e-mail administrators can sort through an e-mail archive to compile relevant messages based on keywords, dates and sender/recipients into an exported file. Access records and related policy violations can also compiled and delivered to legal counsel as requested.
